Delivering Scalable Technical Support for Australia’s Premier CRM Conference

For Australia’s premier CRM-focused technology conference, held annually at ICC Sydney, the client sought to deliver six simultaneous breakout sessions within the same open exhibition space. The goal was twofold: minimise delegate movement across the venue, and deliver a high-tech, seamless audio experience that would impress their savvy, tech-driven audience.

Each session needed to operate as a self-contained presentation zone without sound spill between theatres. In addition, each Silent Conference space was required to double as a live-streamed overflow theatre for the main keynote sessions, giving delegates the flexibility to engage with content from anywhere on the floor.

With more than 3,000 attendees expected throughout the day, the solution needed to be scalable, intuitive, and completely immune to interference – while maintaining professional-grade sound quality.

Integrated Silent Conference Technology for Multiple Simultaneous Sessions

Congress Australia delivered a fully integrated Silent Conference system using Bosch Digital Infrared technology – selected for its superior wireless audio quality and total immunity to RF interference.

We deployed six standalone Bosch systems, one per breakout theatre, each operating on a separate infrared carrier to ensure complete signal isolation between theatres. Close to 50 Bosch infrared radiators were installed across the exhibition floor, strategically positioned to guarantee reliable coverage across all seating and standing areas.

To streamline access and eliminate distribution bottlenecks, over 3,200 headsets were pre-secured to seats using custom, reusable silicone sleeves. Each receiver was tested and verified before the event, with our technical team providing dedicated onsite support at every breakout space for the duration of the day.

Crucially, our Silent Conference systems interfaced seamlessly with all vent AV suppliers and production infrastructure. The use of digital infrared technology guaranteed no risk of interference with wireless microphones, stage comms, video feeds, or control systems – ensuring a reliable and disruption-free experience for all stakeholders.

Managing Scale, Clarity, and Interference-Free Delivery in an Open Floor Format

Managing over 3,200 headsets

Coordinating headset delivery at this scale could easily have caused congestion. Instead, headsets were pre-secured to chairs, dramatically reducing queueing and enabling delegates to enter and exit sessions freely. Each unit was tested in advance, and support staff remained available throughout the day to assist delegates as needed.

Delivering consistent infrared coverage

With nearly 50 radiators required across six large seating zones, infrared coverage needed to be precisely engineered. Our technicians carefully reviewed the event floorplan, truss layout, and audience flow to determine optimal radiator angles and spacing. Power and signal cabling were pre-packed by zone, allowing for fast deployment during bump-in.

Integrating with multiple teams

The project required coordination across five separate event teams, including venue management, AV, staging, production, and the client’s internal planners. We implemented a centralised project management model led by a dedicated Congress Australia coordinator to oversee communication, planning, and rapid issue resolution throughout the event cycle.

Technical Excellence That Enhanced Delegate Engagement and Experience

The result was a seamless, high-impact Silent Conference experience for thousands of delegates. Attendees enjoyed clear, uninterrupted audio in every breakout theatre, with the added convenience of tuning into keynote sessions from any location on the floor.

The client praised the technical reliability, clean AV integration, and delegate ease of use, noting that the system delivered exactly what was promised: a high-impact, high-tech solution tailored for a demanding event environment.

This project reinforced Congress Australia’s capability to deliver large-scale, interference-free Silent Conference systems with precision, professionalism, and attention to detail.
