The 32nd Secretariat of the Pacific Regional Environment Programme (SPREP) Meeting took place at the Sheraton Aggie Grey’s Hotel & Bungalows in Apia, Samoa, from 2nd to 4th September 2025. The event brought together government officials, environmental experts, and regional partners to explore ways to support environmental sustainability in the Pacific through collaboration with local communities.

 

Congress Australia partnered with 2M Language Services to deliver simultaneous interpretation in English and French. The goal was to provide a high-quality interpretation service that enabled all delegates to engage fully, regardless of language. For SPREP, the priority was to host a smooth, inclusive event that fostered effective discussions among all delegates.

Our Solution

 

To seamlessly deliver 2M’s multilingual communication, Congress Australia supplied a fully integrated Simultaneous Interpretation solution using Bosch Infrared Interpreting Equipment.

 

This included:

  • Bosch Simultaneous Interpreting System for seamless multilingual delivery

  • Centralised audio management and routing to distribute language channels reliably

  • Infrared radiator coverage ensured stable, interference-free distribution of the French and English channels, with delegates using infrared receivers to access clear, interpreted audio from the professional on-site interpreter booths.

 

The fully integrated setup ensured that every delegate had seamless, high-quality access to their chosen language channel, delivering clear and uninterrupted multilingual communication throughout the event.

Key Challenges & How They Were Addressed

 

Navigating International Logistics

Implementing the solution in Samoa required careful logistical planning, particularly regarding the timing of the equipment delivery. The team negotiated with the on-site AV team and end client to schedule the equipment arrival, ensuring it reached the venue in the correct sequence with the technician to avoid installation delays. Although initial timelines didn’t align, clear communication of pre-event logistics enabled all parties to agree on a suitable on-site equipment delivery date.
 

All interpretation equipment was shipped from Sydney by freight and installed the day before the event. The team carefully prepared the Commercial Invoice and precisely labelled and numbered each item to ensure it could be quickly identified and deployed on arrival, minimising installation time and enabling a smooth setup.


Managing Unstable Power Supply

From a technical standpoint, the local power supply in Samoa was less stable compared to Australia. Therefore, it was essential for the team to be prepared for potential blackouts. Contingency plans were implemented, and timely communication with the interpreters and clients was maintained to ensure the event could continue smoothly despite any potential interruptions.


Coordinating On-site Set up 

While no prior site visit was conducted, detailed pre-planning and close external coordination ensured an efficient setup process. A local contractor constructed the interpreter booths on-site, while our team managed cable routing and the installation schedule. Once the system was installed, SPREP staff supported efficient receiver distribution, while on-site AV technicians helped guarantee system stability. The collaborative approach enabled the team to stay on schedule and complete the installation efficiently.

Outcome

 

The three day event was delivered seamlessly. The Bosch Simultaneous Interpretation system provided clear, reliable English and French communication to every delegate, enabling effective collaboration. Our team’s planning, preparedness, and coordination ensured a smooth setup that provided high-quality interpretation throughout the event. 2M Language Services was highly impressed with Congress Australia’s technical expertise.
