Held from 29th to 30th September 2025 at the International Convention Centre (ICC) Sydney Grand Ballroom, the two-day meeting provided a forum for international dialogue and collaboration on space exploration and governance.

Delegates participated in a series of board meetings and discussions aimed at strengthening global partnerships and reaffirming shared commitments to responsible space development.

Our Solution

Congress Australia delivered a comprehensive MVI-based camera tracking solution, ensuring seamless communication and visual tracking for all participants. The setup included 60 delegate microphones and 5 PTZ cameras, configured to capture every speaker clearly for both audio and visual reference.

On the first day, microphones were arranged in a U-shape to accommodate a standard boardroom format. For the second day, the layout transitioned into a V-shape, supporting the preferred room layout for day two.

Key Challenges & How They Were Addressed

Venue Access and Shared Operations

As ICC Sydney was conducting its own internal bump-in on the same day, access to the Grand Ballroom was released later than initially scheduled. This required our team to adjust the installation sequence and coordinate closely with the venue’s AV and events teams to ensure a safe and efficient workflow.

Despite the staggered access, our technicians progressed through the setup methodically, completing all microphone, camera, and control system configurations within the revised timeline. This collaborative approach enabled all teams to operate smoothly without disrupting the client’s program.

Outcome

The 76th International Astronautical Congress ran smoothly and without interruption, with the client expressing satisfaction with both system performance and delivery. The MVI system provided reliable audio and video throughout the two-day meeting, supporting clear communication and accurate documentation for all delegates. Our technical team ensured that, despite setup constraints, the system operated flawlessly, delivering a successful and seamless experience for all participants.
